Terms of use

Last updated 13 October 2026. These terms apply to packchain.co.zw and to the PackChain workspace. By using either you accept them. A customer's signed quotation or service agreement takes priority over this page where the two differ.

Who we are

PackChain Systems, 11B Eastle Flats, Ruware Park, Marondera, Zimbabwe ("PackChain", "we"). "Customer" means the company that subscribes to PackChain; "users" are the people the customer gives access to.

The service

PackChain provides packhouse and farm-operations software: field and pruning records, receiving, quality control, packing, pallets, dispatch, traceability, inventory, people and payroll, and compliance tools, in the modules included in the customer's plan. We improve the service over time and may change or retire features; we will not remove a core function a customer depends on without reasonable notice. The website describes the product; it is not a promise about any harvest, pack-out or market outcome.

Accounts and access

The customer's administrators create users and decide what each can see and do. Users must keep their PIN private, use only the farms and pages they have been given, and not try to reach another company's data or test the security of the service without our written permission. Sign out of, or hand over, shared tablets only to people allowed to see that farm. The customer is responsible for what its users do in its workspace.

Customer data

The customer owns the records it enters and can export them at any time. The customer gives us the right to host, back up and process that data only to provide, secure and support the service, as described in our privacy policy. The customer is responsible for having a lawful basis, under the Cyber and Data Protection Act and other law, for the personal information it enters about its employees and others, and for telling them how it is used. Do not upload unlawful content or anything you do not have the right to use.

PackChain staff may open a customer's workspace to give support or fix a fault. These visits are logged, and we keep what we see confidential.

Fees and payment

Set-up fees and subscriptions are as set out in the customer's accepted quotation. Unless the quotation says otherwise: set-up is invoiced on acceptance, subscriptions are billed in advance, prices are in US dollars and exclude VAT, and invoices are due within 14 days. We may change prices from the next renewal after giving at least 30 days' notice.

Suspension

If a subscription is not paid within 14 days after its paid-up period ends, the workspace becomes read-only: users can still sign in, view and export their data, but nothing new can be saved. Full access returns as soon as payment is received. We may also suspend access straight away to stop a security threat or misuse, and will tell the customer why.

Ending the service

Either side may end the subscription at the end of a paid period by giving notice in writing; a quotation may set a minimum term. Either side may end it straight away if the other seriously breaches these terms and does not put it right within 30 days of notice. After the service ends the customer has 30 days to export its data, after which we delete the workspace as set out in our privacy policy. Fees already paid are not refunded unless the quotation says otherwise.

Availability and support

We aim to keep the workspace available and to fix faults quickly, but we do not promise uninterrupted access: internet, device and hosting outages can stop work. The app works online only and will not save while offline; do not rely on it when it says it is offline. Support is by email and phone Monday to Friday, 08:00 to 17:00 (Zimbabwe time), with priority support in season where the plan includes it.

Our intellectual property

The PackChain software, design, name and logos belong to PackChain. A subscription gives the customer and its users the right to use the service for the customer's own business while the subscription lasts. Do not copy, resell, reverse-engineer or build a competing product from the service.

Confidentiality

Each side will keep the other's non-public business information confidential and use it only for the service, except where the law requires disclosure.

Liability

To the fullest extent the law of Zimbabwe allows, PackChain is not liable for lost profits, lost or spoiled produce, lost sales or any indirect or consequential loss, and our total liability for all claims in any twelve months is limited to the fees the customer paid for the service in those twelve months. Nothing in these terms limits liability that cannot be limited by law, such as for fraud.

Governing law

These terms are governed by the laws of Zimbabwe, and the courts of Zimbabwe have jurisdiction. We will first try to settle any dispute by talking to each other.

Changes to these terms

We may update these terms and will show the new date at the top. For significant changes we will notify customers at least 30 days before they apply; continuing to use the service after that means accepting them.
